As explained above, the personal data (Personal Information) we process may come from different sources. It generally includes the following (non-exhaustive list): full name, date of birth, nationality, email and phone number, address, city, country, etc.

If you are a direct user of this website and have access to one or more of areas, or if you directly book a service through the website, EdQwest SA will have access to all the related information that you submit (i.e., the details of your subscription, name of school, preferences, etc.).

We may use any Personal Information to create your personal user/login to our website, run the company's business or to improve our services to you. We may also use this Personal Information to comply with some of our legal obligations.

The process of the Personal Information will generally be done on one of the following legal bases: your consent (where necessary); a contractual relationship we have with you or a relevant party (in such cases the relevant party is responsible/liable for your consent); our legitimate business interests; or compliance with our legal obligations.

EdQwest SA does not access, use, or share personal data for any purpose other than to deliver the services, comply with legal obligations, or act on the school's documented instructions. EdQwest SA does not use student personal data for behavioural advertising or profiling, does not sell personal data, does not send marketing communications to students, and does not use student data to train external large language models or share it with third parties for their own commercial purposes.

Security of the data

The confidentiality of your Personal Information is essential and an integral part of our values. We do not sell or disclose your personal information except as described here.

We have put in place strict organizational and technical measures to ensure maximum security of your data. We restrict the use and access to your Personal Information to those who absolutely need to have the information in order to provide you some services or to allow you to access our website. Your information is shared with our staff on a need-to-know basis.

Whenever Personal Information is shared with a third party (i.e., through a contract) the third party is obliged to maintain confidentiality, and we maintain appropriate technical and organizational measures to preserve your Personal Information.

EdQwest SA acts as a data processor on behalf of schools, who are the data controllers. In the event of a security incident involving personal data, EdQwest SA will notify the affected school without undue delay after becoming aware of the incident, so that the school can meet its own notification obligations under applicable law.

For example, where the GDPR or UK GDPR applies, we will notify the affected school within 72 hours of becoming aware of a personal data breach. Where PIPEDA applies in Canada, we will notify as soon as feasible after determining that the breach poses a real risk of significant harm.

Notification will be sent by email to the primary contact on record and will include, to the extent known at the time, the nature of the incident, the categories and approximate number of individuals and records affected, the likely consequences, and the measures taken to address the incident. EdQwest SA will provide reasonable assistance to the school in responding to the incident.

How long do we keep your data

To the extent permitted by applicable law, we retain the Personal Information we obtain for as long as it is necessary to fulfill the original purpose for which the personal data was obtained.

What are your rights

To the extent permitted by the law, you have the right to: access, modify, update and correct the data we maintain about you; request that we restrict the processing of your Personal Information or object/ask us to restrict its processing by sending us an email to the following email address: info@edqwest.com.

Where permitted by the law, you may at any time withdraw the consent you previously gave us to process your Personal Information for legitimate reasons. If we receive notification that you have withdrawn your consent or that you wish us to restrict the processing of your Personal Information, we will no longer process your information, unless we have another legitimate basis for doing so.
